Booking Terms & Conditions
General
This website (soarnsshepherdshuts.co.uk) (“Website”) is owned by Soarns Shepherds Huts limited. By purchasing any products (the “Product”) or services (“the Services”) and by using this Website you acknowledge that you have read and you agree to be bound by and comply with these Terms and Conditions. Your statutory rights are not affected.
By making a booking, this is a legally binding contract between the property owner, Soarns Shepherds Huts Ltd, and the holidaymaker. The property owner is also referred to as "we" and "us".
The holidaymaker is the person who signs the booking form or, in the case of online booking, the person who makes the online payment. This person is responsible for ensuring all members of the holiday party accept and adhere to these terms and conditions. The holidaymaker is also referred to as "you".
The property referred to being Soarns Shepherd's Huts, Tresournes, Truro, Cornwall, TR2 4AP.
By booking and staying at Soarns Shepherds Huts site or using its facilities you agree to become a member of WoodlandChampions Club and have your details shared with the club. There is no fee for glamping membership and your details may be shared by WoodlandChampions Club for the purposes of the running of the Club. Becoming a member of Woodland Champions Club is required in order for the site to operate as a certificated location.
Bookings
A booking deposit of 20% is payable within 2 days of the provisional booking being taken. The booking is taken on a provisional basis until the deposit has been paid in full and funds cleared through the banking system (where appropriate). The booking then becomes confirmed. Until the booking is confirmed, it can be cancelled at any time without prior notice.
The balance of the rental charge is payable not less than 6 weeks prior to the start of the holiday. Failure to pay the deposit or balance in full by the due dates will constitute a cancellation of the holiday by the holidaymaker. Please be sure to note the due dates of these payments. We will endeavour to remind you for the balance of any outstanding payment, however, the outstanding balance payment remains the responsibility of you. We reserve the right to cancel a booking in the event of non-payment and the cancellation terms under point 3 will apply.
Bookings made less than 6 weeks prior to the arrival date must be paid in full at the time of booking.
Bookings and payment must be made online.
Soarns Shepherd’s Huts Gift Vouchers are non-refundable, and we do not permit any persons to sell or trade our gift vouchers.
We reserve the right to change our prices at any time.
Cancellation by the Holidaymaker
Cancellation of the booking by the holidaymaker should be made via email and sent to info@soarnsshepherdshuts.co.uk
If you cancel the booking more than 6 weeks before the start of your stay then we will refund your deposit less an administration fee of £35.
In the event of cancellation of the booking within 6 weeks before the start we will attempt to re-let the property and if successful, a refund equivalent to the days re-let, less an administration fee of £35 will be made. If we are unable to re-let the property, then there will be no refund of the booking. If any refund is due, then it will be calculated and returned after we know whether the property has been re-let.
We strongly recommend you take out holiday cancellation insurance.
Cancellation by the Property Owner
The property owner will endeavour to make sure the stated property is available for the dates contracted. In the unlikely event the property becomes not available and the property owner has to cancel the booking, you will be entitled to a full refund of the money you have paid. You may opt to change your booking to another date, subject to availability. Any additional cost relating to a change of dates would be payable by you.
The property owner shall only be liable to return the monies received. No compensation or consequential losses shall be paid.
Miscellaneous
Whilst every care is taken to provide a true and accurate description of the property, over time, alterations are made and some things do change. The holidaymaker accepts that no refunds are available for such discrepancies.
The property owner reserves the right to enter the property, at a reasonable time, in the event of an emergency or remedial repair work being required.
The property owner is entitled to ask the holidaymaker to leave the property without any refund if, in the property owner's opinion, the behaviour of the holidaymaker and/or his/her party is unacceptable.
The property owner reserves the right to refuse entry to anyone, who in the property owner's opinion is not suitable to or capable of taking charge of the property.
The property owner reserves the right to ask the holidaymaker and their party to leave the property, without refund, should the behaviour of the holidaymaker and/or their party be considered by the property owner to be unreasonable.
Parking is available for one car per Shepherd’s Hut at no additional charge. Additional cars should be agreed by prior arrangement with us.
All bed linen and towels will be supplied.
There is no additional charge for the reasonable use of heating and electricity. The use of extension leads or similar from the Shepherd’s Hut for charging EV/Hybrid cars is not permitted.
Number of Guests
The maximum number of people entitled to stay in each Shepherd’s Hut is 2 Adults, and furthermore, only those people named on the booking form are entitled to stay. We will request the name of all guests at the time of booking and the nationality as part of check in. Under the Immigration (Hotel Records) Order 1972 we must keep a record of all guests over the age of 16. For guests over 16, we will require by the time of arrival:

Nationality of all guests
For all who are not British, Irish or Commonwealth guests then we will also require (except for diplomats, their family and staff):
• Passport number and place of issue
• Details of the next destination on or before departure
If it is found that more people then agreed are using the property, this will be considered a breach of contract and the holidaymaker and his/her party will be asked to leave immediately without any refund. Sub letting or assignation of the let is prohibited.
If keys are not returned, or lost, a surcharge of £150 will be required to cover costs for new locks to be installed.
Pets
No dogs are permitted in the huts, unless it is a guide dog and is agreed prior to arrival.
Arrival and Departure Time
Every effort will be made to have the property available from 16:00 to 22:00 on the day of arrival. The property must be vacated by 10:30 on the day of departure. Late departure will result in an additional charge being made. Information about keys and how to collect them will be provided via email no later than 2 days before the start of your booking and once payment has been received in full.
On departure it is the guests responsibility to lock and secure the property (windows and doors) and return the key to the key safe provided and lock the key safe.
Liability
Soarns Shepherds Huts Ltd cannot be held liable for any loss, damage, injury, or sickness to any of our guests, their property or vehicle during the stay.
Children must be supervised at all times.
Cleaning
We would like to think the holidaymaker and party would treat the property as they would their own home and at the end of the holiday the property is left in a clean and tidy condition. The property owner retains the right to make an additional charge for cleaning should the property not be left in a similar condition to the way it was found at the start of the holiday.
Instructions are provided for checkout. All bins must be emptied and rubbish placed in the external dustbins.
Breakages
The holidaymaker should make every effort to keep the property, fixtures and fittings and all contents in the same state of repair and condition as at the start of the holiday. Any accidental dame or breakages should be reported to the property owner (or their representative) prior to departure. The property owner retains the right to make an additional charge for damage and breakages although it should be noted that minor breakages and reasonable wear and tear (in the opinion of the property owner) will not be charged for. Any request for additional charges for damage and breakages must be paid within 14 days.
Complaints
Every endeavour is made to ensure your stay with us is memorable for all the right reasons. However, we do recognise that from to time things do go wrong. In these circumstances, it is the responsibility of the holidaymaker to make any such problem known to the property owner (or their representative) immediately it becomes apparent, thereby giving the property owner the opportunity to correct the situation. Unless this procedure is followed, no subsequent claim will be entertained.
Soarns Shepherds Huts will make every endeavour to rectify any identified problems as soon as is reasonably possible. Any complaints received after your holiday cannot be acted upon.
Site Boundary
Soarns Shepherd’s Huts is situated on Tresournes Farm and this is a live working farm. Whilst we want you to enjoy the surrounding countryside, scenery and animals that graze the land, please be aware that the farmland is strictly private land is not accessible for guests during the stay.
Please do not enter or use any of the farmland, farmyard, outbuildings or farm machinery and equipment during your stay.
Access to the accommodation must be made from the highway to the site entrance, marked by the directions on the information pack. Guests should remain within the fenced boundary of the Shepherd’s Hut site. Only the gate between the main road and site entrance should be opened and no access is permitted beyond any other gates. Please note that some fences could be electrified to ensure they are stock proof.
Please be aware that the countryside is a working environment. As such you may experience important jobs being carried out, such as muck spreading, grass cutting and grain harvesting. Tresournes Farm will carry out these activities at sociable hours to minimise any disruption to you. We are unable to control the activities, noise, or smells of neighbouring farms.
Code of Conduct
We want you to enjoy your stay in the huts.
To respect our neighbours please keep noise to a minimum after 10 pm.
There is no smoking (including e-cigarettes) permitted in the huts. You are allowed to smoke outside the huts in the outdoor spaces, but it is your responsibility to safely discard of cigarettes and dispose of them. Please do not leave any cigarette ends on the ground.
Changes to Terms and Conditions
You can review the most current version of the Terms of Service at any time on the website.
We reserve the right, at our sole discretion, to update, change or replace any part of the Terms and Conditions by posting updates and changes to our website. It is your responsibility to check our website periodically for changes.
